That proposal looks good.

To help with the hotel rate, you can negotiate a smaller number of reserved rooms (say 30 with a commitment of 15 or something like that).

I would suggest that there is a minimal amount that you should make non-refundable (say $35-$40) so that if people cancel you can still have minimal costs covered.

You’ve got the typical Fest stuff covered off. Socializing, technical (wrenching), learning (how-tos), eating, driving(rally/autocross/fire drill), show ‘n’ shine.

I would suggest that you have vendors donate something for the raffle in lieu of charging them a fee (we did this at 2003 and I believe that it was also at 2004) and also have them run some special pricing for the weekend so that attendees benefit. No vendors had any issues with this at the 2003 Fest.

I am just going to throw this out as I don't know if anyone cares. There is a nude beach outside of WI Dells right on the WI river. No, I never went there but heard of it many times.

For those that don't understand WI Dells or never heard of it. It is a great place. The only thing different is that all the attractions is not right off the Interstate 90, except a couple hotels with waterparks. The Circus, Noah's Ark, House on the Rock, WI Ducks (land/water boat ride) etc. are all a drive from the Interstate, no more than 45 minutes. If you have a RV, there are plenty of campgrounds. Check out www.dells.com for everything you need to know.

Ed is right. WI Dells is not a place for planning events between Memorial Day and Labor Day. It is a packed zoo there. Any Sunday when I drive back home from my mother's during the summer, the southbound of I-90 is totally congested. There was one time traffic had stopped. No accidents or whatever, just simply congested. Northbound traffic from the Dells ain't too bad. So it must be after Labor Day. So is planning in Madison over Labor Day weekend not recommended as several of my brothers went to the U there. One of the reasons why I don't like to visit my mother over Memorial Day or Labor Day weekends is THAT, congested traffic making me arriving home late when I don't need to.

I don't know why I am thinking this but I think it is not fair to Ed. Why not have it at Twin Cities? But it is not any fun as the Dells. They just opened up a huge waterpark to keep MN people from going to Dells. And there is the Mall of America and blah, boring, blah.
