I'm happy to be one the 'locals' if people want to form a Denver Fest group! :D


I would highly recommend more than 1 person on site. a small group of at least 3 is highly suggested. Because of the simple fact that errands need to me run and a lot of on-site "leg work" is needed. It can be done from a distance, I've done 2 fests from a distance now (Montreal -3500miles and another country away, and PDX ~ 700 miles and another state away). So, it's possible.

*shines up the motivational boot*.... ;)

ahhh... that's a tricky situation. Product vendors are not allowed to be on any TDIFest committee, simply because it allows for strong bias. Sorry, Vail. But you wouldn't be able to be on a planning committee.

We have had local guru's on staff before, but they're particiaption is limited in what they can do...ie -they're not allowed to arrange the vendor relation's portion of Fest. Anti-bias, and all. :D

Or, should this be more of a Chinese Wall sort of relationship where vendors have zero involvement?

Here is another thought... There are a lot of motor sports parks going in that are like country clubs for car enthusiasts. Membership is too rich for my blood but they may be open to non-member events. They usually have a track and clubhouse facilities. Do any of you know of parks in your areas.

My wife might kill me, but I'd be willing to help plan a Chicago-ish 2011 bid. (And I'm a finance and numbers geek, so I'd be extra helpful there.)

How about Buffalo, NY ??? Easy to get to, Lancaster Speedway is close by, Niagara Falls, and moderate temps. School doesn't start until after labor day in NY, so that's not an issue. Lots of hotels to choose from, and I'm not opposed to holding it in Niagara Falls either ( although the hotel cost might be a lot there as compared to Buffalo ).
Buffalo or Niagara Falls would give me a good reason to visit the folks. Are you getting a WNY group together to make the proposal?

Two of our planning members were spread out by over 900 miles. Regular conference calls are a must, immediate proximity issues can be overcome.
I was thinking about this, and, if such becomes the case again, I suggest an open source freeware conference call software called Dim Dim. http://www.dimdim.com/ This is essentially a knock off of eLuminate Live, which is a video conferencing software that my University (many universities) use for online courses. I know some public school teachers who use it in their classrooms as well. I haven't used it myself, but I'm told by some that it's free and works pretty well. Something to think about if you need it for fest planning.

I've submitted an email to VW asking about having a gathering at the Chattanooga factory. But I also see that "Product vendors are not allowed to be on any TDIFest committee". Due to that, I need to remove myself from this but will relay any reply I get from VW and stand on the side lines cheering for Chattanooga.

Vendors are perfectly welcome to share contacts and help with Networking. But names, numbers, and initial contacts are about all they can do. They may not actually forge the way with/through those contacts with any of the planning process. That needs to be done separate from the Vendor, through the planning committee, without the vendors involvement.
It's a VERY fine line. But one that must be respected. :)

Just a couple of quick notes given the postings in this thread.

1) If there is a group considering putting forward a proposal for TDIFest 2011, please contact me directly for some additional guidance. We have a living document with some time lines, requirements etc that can be a big help with the planning/proposal stage. I hope to get some more updates to this document after some wrap up discussions with the 2010 organizers to keep the flow of information flowing forward. With technology it is possible to have members on the fest at remote locations (and as noted this has been done in the past), but there needs to be a few local people on the committee as well. There are some items and logistics that require local contacts that just can't be done remotely.

2) Vendors on the TDIFest committee. Due to the potential of perceived bias or preferential treatment by one product vendor over another along with their national/international exposure, we unfortunately have to restrict them from being part of the core TDIFest planning committee. Guru's (and other 'vendors' on the forums of a regional nature, where there would be no conflict of interest) are welcome to be on an organizing committee. I just ask that this is noted in the proposal along with an short explanation how their work would not be in any potential conflict. If in doubt, please email me as noted in item 1 above. That said if vendors have comments, suggestions, etc for improving a fest or contacts that may be of assistance in the planning process, please feel free to let us know.

3) Meetings. While face-to-face meetings are always best, it is not always possible on a regular basis and therefore I am happy to cover the teleconferencing costs to enable the planners to work more effectively. There are other options such as Go-to-meeting that I've investigated before but in the end the feedback I've gotten is it needs to be simple. Can't get much simpler than calling a toll free number on your phone which allows people to connect when they not in front of a computer or if their technical skills aren't on the cutting edge. If there are cheaper alternatives that meet those requirements I'm all ears.:)

4) We have a steering committee that is helping to pass on information and help guide the planning committees and help us improve TDIFest each year, so you won't be alone to plan it. Also I highly recommend that at least one or two people on the committee have attended a fest before. It makes it much easier to understand what happens.

Hope this helps to potential planner out there and I look forward to seeing the proposals.

In 2006 we hosted the Bullrun on the Crossroads Property in Vail....so we had maybe 100 Lambo's and Maseratis, GT40's, Spykers, etc etc a dream list of cars

Sh*t-we can't even get a few people together to meet up somewhere and socialize:(....we also have casinos,Darien Lake theme park and a bunch of chicken wing places-and the Chicken Wing Fest is held Labor Day weekend.....
